💡: This ability must be configured in Aclaimant for a user to be able to import and export policies into Aclaimant. Your user profile must have permissible role to access Policies.
Best Practices:
As you navigate the uploading of policies, we have a few best practices to share out.
1. Policy information is case sensitive.
2. When uploading or updating policy information, we recommend that you download your existing policy information (see how to export policy section to do so) OR utilize this template: Policy Creation
3. Certain policy criteria are used to verify the uniqueness of a policy and therefore can not be updated using this template. If company ID, policy number, effective dates, or type of coverage needs to be adjust, please review the article How to Update Policies.
How to Export Policies
1. To begin exporting a policy from your company, navigate to your Settings tab.
2. Select the Policies sub-tab on the left hand side.
3. Locate & select the "Download Policies" button on the right side.
4. This will generate a CSV file with all policy information. You will be able to open and save this to your local device.
How to Import Policies
1. To begin importing a policy from your company, navigate to your Settings tab.
2. Select the Policies sub-tab on the left hand side.
3. Locate & select the "Upload Policies" button on the right side. We recommend and highly prefer that the method of updating is to download the existing policies under the "Download policies" button and make updates to policies from here.
4. A new pop-up window labeled Step 1: Upload should open that loads a Drag & Drop window or the option to upload file types (.XLS,.XLSX, and CSV files are accepted) with all of the requested data in order to successfully upload a policy indicated by asterisks.
* If adding a new policy, the required information includes: Carrier, Policy Number, Effective Date, and Coverage Type*
* Please note, each column is case sensitive when you are creating or updating policies.*
5. Upon uploading, you should see a preview of your uploaded file. Select Continue.
6. Under Step 2: Map & Cleanup, review the mapped data and ensure that all data provided matches what we have by reviewing Your Column and Our Field columns.
7. Select Continue. You will be brought to Step 3: Review and ensure all data is coming over successfully. For any "null" values, that is an indicator that the data was not included in the upload and will be empty values in the policy. Once ready, select Submit and again, select Submit Data.
8. If successful, you will see a "Your data was submitted successfully" message indicating your policy uploaded!
9. Navigate back to the Policies tab and you will see your policy upload under "Recent Uploads".
