Scheduling Safety Reports

From the initial release notes on May 1, 2025 :

A task to complete a safety report can now be assigned at set intervals (daily, weekly, monthly, or yearly). Assignees and Watchers can be set to all users with a role or specific selected users.

If the company has Locations enabled and the selected safety report has a location-type workflow-backed search configured, you can generate a safety report for each location. Model access will be taken into account when setting assignees and watchers by Role.

A new role permission is required to manage safety report schedules.

Scheduled safety reports…

  • Can be used without workflow-backed locations configured on the safety report workflow
    • These schedules will create a single scheduled safety report at the given cadence
      • The tasks created by the scheduler live inside answer bundles with the state “assigned”
    • Example use case: There is a company-wide yearly safety inspection for the lead safety manager to complete each December

  • Can be used with workflow-backed locations configured on the safety report workflow
    • These schedules will create a scheduled safety report for each location selected in the scheduler at the given cadence
      • The tasks created by the scheduler live inside answer bundles with the state “assigned”
      • The answer bundles created by the scheduler have the given location pre-searched in fillout
    • Example use case: There is a weekly equipment inspection at every location for the location safety managers to complete on Fridays

    • Assignment if using locations can be done by role or individual user
    • Safety reports will only be assigned out to users that have access to a given location via model access
      • As such, model access needs to be set on both the safety report workflow and the user
