Best Practices for Data Explorer

To get the most out of the Data Explorer and ensure your exports are accurate and actionable, follow these general guidelines.

Optimize Your Exports

  • Filter Before Exporting: To ensure the fastest performance and most relevant data, apply your filters (such as Date Range or Business Unit) before clicking export. This keeps your Excel files lean and focused.

  • Select the Right Export File Type: While in some cases it may not matter, be sure you understand how the exported data will be used so you select the correct file type for your export. 

    1. Excel File

      • Best for Presentation and Analysis: Choose Excel if you plan to create pivot tables, charts, or graphs immediately after downloading.

      • Data Blending: This format is ideal for Chief Risk Officers and managers who need to blend Aclaimant data with external financial spreadsheets for executive-level presentations.

      • Formatted Reports: Use this when you require consistent column headers and readable formatting for sharing with internal stakeholders via email.
         

    2. CSV (Comma Separated Values) 

      • Portability and Speed: CSVs are the preferred choice for large result sets because they are lightweight and faster to generate than formatted Excel files.

      • System Compatibility: Select CSV if you are uploading your data into another internal system, a shared drive, or a data visualization tool.

      • Raw Data Extraction: This is the best "neutral" format for simple lists, such as incident names and associated answers, that don't require specific formatting.
         

    3. JSON (JavaScript Object Notation)

      • Technical Integrations: JSON is specifically designed for technical teams or system administrators who need to feed structured data into other software applications or custom internal tools.

      • Hierarchical Data: Use this format if your analysis requires a machine-readable structure that preserves the relationship between complex data fields.

Leveraging AI for Precision

The Data Explorer uses AI to bridge the gap between raw data and executive-ready insights. To get the most accurate results before you export, follow these guidelines:

  • Be Specific in Queries: When using the AI Exploration bar, specify timeframes and categories for the best results. For example, use a prompt like "Total Incurred for GL claims in 2025" instead of a generic query like "GL Claims total".

  • Leverage AI for Accuracy: Use natural language queries to narrow down your data set to exactly what you need. This ensures your final export contains only the specific "material risks" required for your analysis.

  • Review AI Summaries: Before clicking the export button, read the AI-generated "Insights" summary. These instant summaries can highlight trends or outliers—such as emerging risk patterns or hotspots—that you might otherwise miss in a large, complex table.

  • Utilize Smart Suggestions: After your initial query, look at the AI-suggested follow-up questions. These can help you dive deeper into the data or uncover related insights before you finalize your report.

Data Integrity & Selection

To ensure your ad-hoc reports provide a complete and accurate picture of your risk landscape, follow these foundational principles:

  • The "Golden Triangle" Approach: When building an exploration, aim to include at least one field from each of the three risk pillars—Assets (who/what), Policies (coverage), and Claims (financials). 

    • Connecting these elements allows you to see the full story of a loss, such as how specific employee training (Asset) under a certain policy period (Policy) relates to recent incident trends (Claims). This integrated perspective is essential for identifying the "Why" behind your data.

  • Column Ordering: Arrange your columns from left to right in order of importance. Because the Data Explorer supports drag-and-drop formatting, you can place "Key Identifiers", like Claim Number, Employee Name, or VIN, at the far left of your selection. This ensures that when you open your exported Excel, JSON, or CSV file, the most critical data points are immediately visible without the need for excessive scrolling.

  • Prioritize Material Risks: Before finalizing your report, sort your table by high-level metrics like severity, frequency, or total incurred. This surfaces your most material risks to the top of the list instantly, ensuring that you and your stakeholders are focused on the data that matters most to the organization.

  • Standardize Your View: Use the searchable fields catalog to move beyond standard templates and widgets. By selecting unique data sets tailored to your specific query, you can quickly answer board and executive questions without waiting on external IT or brokerage support.

Security and Governance

To maintain the integrity and confidentiality of your organization's risk data, the Data Explorer operates under the same strict oversight as the rest of the platform. This governance model ensures there is no "elevation of access" through the reporting tool; your data remains secure even when extracted.

  • Respect Role Permissions & Model Access: Data Explorer is fully integrated with Aclaimant’s existing security and data permission model. This ensures that ad-hoc reporting respects the same role-based security used throughout the rest of the application. Authorized users will only see the specific data they have permission to access, such as certain locations, business units, or financial domains.

  • Troubleshooting Empty Results: If a field or location appears empty in your table preview or export, it is likely due to your existing Role or model access permissions.

  • Admin. Oversight: System Administrators can configure which data domains each role can access to protect sensitive information while still empowering the team with self-service capabilities.

Server-Side Report Storage

Our reporting system is a secure, server-side hosting, allowing you to access your saved reports seamlessly across multiple devices and browsers. This shift not only prevents data loss when clearing your browser cache but also powers new collaboration features like report sharing. Please note that reports previously saved to your browser will not sync automatically; however, you can easily move them to the cloud using the Import tool to ensure they are backed up and accessible from anywhere.
