Managing Scheduled Tasks and Safety Reports

It is easier than ever to find, create, and manage both company tasks and automated safety reports in one centralized place.

With the top-level Tasks tab, you no longer have to dig through settings or individual records to see what is scheduled. Everything you need to keep your organization compliant and on track is accessible right from your main navigation.

Navigating the Centralized Tasks Tab

The top-level Tasks tab acts as your control center for both scheduled and one-off items across every model for your company or collective.Screenshot 2026-07-16 at 11.54.02 AM.png

  • Visibility Beyond Assignments: This tab allows you to see scheduled or one-off system tasks and reports that you aren't directly assigned to or actively watching.

  • Smart Filtering: Find exactly what you need using new Parent filters (e.g., Incident, Safety Report, Company) and custom view filters. For collectives, a Company filter is also available to quickly parse data across different organizations.

🔒 Note on Access: Visibility and editing capabilities within the Tasks tab honor your account's specific model access and task-editing permissions. You will only see tasks and reports related to data you are authorized to view.

Creating and Managing Company Tasks

You can manage system-wide actions directly from the central tab without tying them to a specific incident or individual claim.

  • One-Off Company Tasks: Create a general company-level task by hand at any time using the New Task button.

  • Direct Schedule Access: The New Task button also links directly out to your task schedules. You can jump straight into creating or editing a recurring cadence instead of navigating through the main Settings menu.

  • AI Support: The AI Assistant can also automatically generate company tasks for you directly within this space.

 Scheduling Safety Reports or Tasks

Alongside operational tasks, you can now automate your risk insights by scheduling recurring Safety Reports or Tasks.

Instead of manually pulling data every week or month, you can set up automated reporting schedules that distribute crucial safety and compliance data to the right stakeholders on a fixed cadence. These scheduled reports appear alongside your standard tasks, ensuring your safety documentation is generated reliably and transparently.

Monitoring the Schedules List

To make sure your operations are running smoothly, the Schedules list provides a quick health check for both your recurring tasks and automated safety reports. At a glance, you can see:

  • The Cadence (how often the task or report runs).

  • The Updated Date (when the report or task was last updated).

  • A "Stopped" status indicator if a schedule has been paused or is no longer running.

 

  • Example use cases
    • There is a company-wide yearly safety inspection for the lead safety manager to complete each December
    • There is a weekly equipment inspection at every location for the location safety managers to complete on Fridays
  • Safety reports or tasks will only be assigned out to users that have access to a given location via model access.
